The short version
- Your company owns its data and can export all of it at any time.
- Binary Books helps you work out VAT and prepare documents. Checking them, and your tax filings, remain your responsibility.
- Invoices read by AI become drafts, and a person must check them before they count.
- Fees and any special arrangements are set out in your company’s agreement with us.
About these terms
These terms apply to anyone who uses Binary Books or binarytechme.com. They are an agreement between Binary Technologies, Fujairah, UAE (“we”, “us”) and the company that uses Binary Books (“your company”, “you”). People who sign in to your company’s account (“users”) must follow them too.
If your company has a signed quotation or agreement with us, it takes priority over these terms where the two differ. By using Binary Books you accept these terms and our privacy policy.
Accounts and users
- Your company’s admins decide who can sign in and what each person can see and do.
- Your company is responsible for what its users do in its account, and for removing people who should no longer have access.
- Users must keep their passwords to themselves. Google sign-in is protected by the user’s own Google account, so that account must be kept secure too.
- Tell us straight away at info@binarytechme.com if you think someone has got into your account.
Your data
Everything your company enters or uploads belongs to your company. You give us permission to store and process it only so we can provide Binary Books, back it up and support you, as described in our privacy policy.
An admin can download a full export of your company’s records at any time from Settings → Download backup. You are responsible for having the right to put personal data about your own customers, suppliers and staff into Binary Books.
Your documents and tax
Binary Books works out VAT, totals and amounts in words, and prints them on your letterhead. You are responsible for:
- checking documents before you issue them;
- the prices, VAT treatment and details you enter;
- your VAT returns and other filings with the Federal Tax Authority;
- keeping records for as long as the law requires.
Binary Books is a tool, not tax or accounting advice. Ask your tax adviser if you’re not sure how something should be treated.
AI features
- Invoice scanning reads a vendor invoice and creates a draft purchase invoice. AI can misread things, so every draft must be checked against the original before it’s posted. It’s switched on by your company’s admins and may be limited to a number of scans per day.
- Ask your data lets a user connect an AI app, such as Claude, to answer questions about your records. It can only read, never create, change or delete anything, and it sees only what that user is allowed to see. The AI app is provided by its maker under that maker’s own terms.
Acceptable use
You and your users must not:
- use Binary Books for anything unlawful, including issuing false or misleading tax documents;
- try to get into another company’s data, test or break our security, or put an unreasonable load on the service;
- upload malware, or files you don’t have the right to store;
- copy, resell or rent out Binary Books, or try to extract its source code, unless we’ve agreed to it in writing.
We may suspend an account that puts the service, other customers or us at risk. If we can, we’ll tell you first and give you a chance to fix the problem.
Fees
Fees for Binary Books, set-up and any paid features such as AI scanning are set out in your quotation or agreement with us. They are charged with VAT where it applies. If an invoice from us stays unpaid after a reminder, we may limit the account to viewing and exporting until it’s settled. Your data is never held back from you.
Availability and backups
We work to keep Binary Books available and fast. It runs on Cloudflare’s global network and is backed up every night. Sometimes we need to carry out maintenance, and services we rely on can have outages, so we can’t promise it will never be unavailable. We’ll tell admins in advance about any planned work that affects them.
We keep improving Binary Books, so features may change. We won’t remove a feature your company relies on without telling you first.
Ending the service
Either side can end the service as set out in your agreement, or with 30 days’ written notice if the agreement doesn’t say. When it ends, we’ll give your company a full export on request. We’ll then delete its data, including from backups, within 90 days, unless the law requires us to keep something.
Liability
Binary Books is provided with reasonable skill and care. As far as UAE law allows:
- we aren’t responsible for indirect or consequential loss, such as lost profit, lost business or penalties caused by documents you didn’t check;
- our total liability for any claim is limited to the fees your company paid us for Binary Books in the 12 months before the claim.
None of this limits liability that the law doesn’t allow us to limit, such as liability for fraud or gross negligence.
Our software and website
Binary Books, its design and our website belong to Binary Technologies. While your company uses Binary Books, it has the right to use it for its own business. The content on binarytechme.com is general information about our services and isn’t an offer until we confirm a quotation.
Changes
We may update these terms. We’ll change the date at the top of this page. If a change is significant, we’ll tell company admins at least 30 days before it takes effect. If your company continues to use Binary Books after that, it accepts the new terms.
Law and disputes
These terms are governed by the federal laws of the United Arab Emirates and the laws of the Emirate of Fujairah. We’ll first try to settle any disagreement by talking to you. If that doesn’t work, the courts of Fujairah will decide it.
