Quotes to cash. One system.
Binary Books runs the whole deal — quotation, proforma, VAT tax invoice, delivery note, purchase order and receipt — from one number, on your own letterhead. Built in the UAE, for businesses in the UAE.
- UAE VAT & TRN ready
- English & Arabic letterhead
- Plain English, no jargon
- Works on your phone
One deal. Five documents.
Zero retyping.
Start with a quotation. Every document after it is one click away, carries the same lines and the same number trail, and lands on your letterhead ready to send.
- 01QuotationBuilt in sections from saved templates. Revise it as R1, R2 — same number, history kept.
- 02Proforma invoiceAccepted? Make the proforma and set the payment stages — 30% advance, 50% on delivery, 20% on completion.
- 03Tax invoiceA VAT tax invoice made from the proforma — never straight from a quote — with every advance already deducted.
- 04Delivery noteQuantities without prices, ready for the site to sign.
- 05ReceiptEvery payment gets a numbered receipt that names the stage it pays and the balance left.
Quotes that look expensive and take minutes.
Type a line once and Binary Books remembers it. Pull whole sections from saved templates, change a quantity, round the total to the number your customer asked for — the discount works itself out.
- Sections & saved templates — “CCTV main site” drops in all its lines.
- Revisions R1, R2 — save as a new revision; the original stays read-only.
- Round off total to… — type 10,850 and the discount is calculated for you.
- Print-ready A4 — your logo, letterhead, TRN, amount in words, signature. Upload the logo once in Settings.
Know who owes you, to the fils.
Split a proforma into stages, record each payment as it lands, and hand over a numbered receipt every time. Every customer gets a running statement with ageing — print it or send it as a PDF.
- Payment stages — 30 / 50 / 20, or any split you agree.
- Numbered receipts for advances and balance payments alike.
- Advances deducted on the final tax invoice automatically.
- Post-dated cheques — kept as waiting until the bank clears them, with a reminder on the day to deposit.
- Statement of account — running balance and overdue ageing per customer.
Protect your margin before you order.
Raise purchase orders straight from the quotation — split across vendors, VAT or no VAT. Every line shows its margin. If a vendor costs more than your customer pays, only an admin can approve it, with a reason on record.
- POs from the quote — items and quantities come over, customer prices never do.
- Margin on every line, and a loss needs an admin’s approval.
- Purchase invoices checked against the PO — every difference listed.
- Input VAT flows straight into your VAT summary.
The numbers, without the spreadsheet.
Invoiced, collected, overdue and your VAT position for the quarter — on one screen, always current. Or just ask: “Who still owes us money?”
- Dashboard — this month, to collect, overdue, last 12 months.
- VAT summary — output, input and net payable to the FTA, exportable.
- Ask your data — plain-language questions, read-only answers.
Your books, in your pocket.
Open it on your phone and it works like an app: five tabs along the bottom, what needs you today at the top, and the jobs you do on the move a tap away. Nothing to install.
- Needs you today — late invoices, cheques to deposit, quotations about to run out, vendors to pay.
- Record a payment on the spot — amount first, how they paid, receipt printed or shared.
- The A4 page, full size — open any document and pinch to read it.
- Cheques with big buttons — deposited, cleared or bounced in one tap.
Made for owners, not accountants.
Every finance word comes with a plain line beside it, so anyone on your team knows what a button does before pressing it. And nothing you typed is lost by accident.
- Plain English beside every term — PDC, input VAT, proforma, credit note, TRN.
- Statuses you can read — “Issued: counts in what the customer owes you and in your VAT.”
- One save bar — see what changed, then Discard or Save. Leaving a page with changes asks first.
- Asks before anything is lost — deleting, cancelling, a cheque that bounced.
A post-dated cheque (PDC) carries a later date, so the bank can’t cash it before 5 Nov. Until you mark it cleared, the invoice still shows 4,704.00 owed.
Made where you do business.
Not a foreign accounting package with a VAT add-on. Binary Books was built in Fujairah around how UAE companies quote, invoice and get paid.

Is Binary Books ready for UAE VAT?
Yes. Tax invoices carry both TRNs, VAT is calculated per line at 5% (or zero for suppliers without VAT), and the VAT summary shows output, input and net payable for the quarter.
Can I use my own letterhead and numbering?
Yes. Upload your logo once in Settings and every printed document carries it, with your address, TRN, bank details and signature, and your own prefixes — for example Q-26001, PI-26001, INV-26001.
What happens when a customer pays in parts?
Set the stages on the proforma, record each payment as it arrives and a numbered receipt is issued. The final tax invoice deducts everything already paid.
Who owns the data?
You do. It’s backed up off-site several times a day, and you can download all of it yourself whenever you need to.
Do I need to know accounting?
No. Every finance word has a plain explanation beside it, statuses say what they mean, and Binary Books asks before anything is deleted or lost.
Can I run more than one company?
Yes. Add another firm from the menu and switch between them with one login — each keeps its own customers, documents, numbering and letterhead.
Does it work on a phone?
Yes, and it’s made for it: on a phone it works like an app, with tabs along the bottom and big buttons for payments and cheques. There is nothing to install.
