The short version
- We don’t sell personal data, show ads or use tracking or advertising cookies.
- Business records in Binary Books belong to the company that keeps them. We hold them only to run the service.
- Google sign-in gives us your name, email address and profile picture. We never see your Google password, mail or files.
- AI invoice scanning sends a scanned invoice to Anthropic only when your company has switched scanning on.
- Email info@binarytechme.com to see, correct or delete your data.
Who we are
Binary Technologies (“we”, “us”) is an IT company in Fujairah, United Arab Emirates. This policy covers:
- our website, binarytechme.com, and the Binary Books page at binarybooks.app;
- Binary Books, our software for quotations, invoices, purchasing and payments, at my.binarybooks.app (also reachable at admin.binarytechme.com) and at any other address we run Binary Books on for a customer.
A company that uses Binary Books (“your company”) decides what goes into its account: its customers, suppliers, documents and users. For those records, your company is responsible for the data and we process it on its behalf. For the data we need to run our own website and services, we are responsible.
Our website
You can read binarytechme.com without an account, and we don’t ask you for anything.
- No analytics or ad trackers. The site sets no cookies and runs no analytics, advertising or social-media tracking scripts.
- The quote form doesn’t send anything itself. It opens your own email app with your details filled in, and we receive only what you choose to send.
- WhatsApp and phone links open WhatsApp or your phone. What you send through them is handled under WhatsApp’s or your phone carrier’s own terms.
- Hosting and fonts. The site runs on Cloudflare, and its fonts load from Google Fonts. Both receive your IP address and browser details when you load a page, because that’s how a page reaches your device. Cloudflare also uses them to block attacks.
Binary Books: what we store
| What | Details |
|---|---|
| Your account | Your name, username, email address, role and the pages you can use. Your password is stored only as a salted hash, never as the password itself. |
| Business records | What your company enters: customers, suppliers, items, quotations, invoices, purchase orders, payments, cheques, settings and its letterhead details. |
| Files | Files people attach or scan, such as vendor invoices and photos. A photo may be made smaller in your browser before upload if your company has that switched on. |
| Activity log | Who added, changed or deleted what, and when. It includes sign-ins and failed sign-ins, and the IP address each action came from. Admins of your company can read it. |
| Security counters | Short-lived counts of failed sign-in attempts per IP address. They are used to stop password guessing and expire within minutes. |
| Connected apps | If you connect an AI app such as Claude to “Ask your data”, we store a record of that connection so it can be listed and disconnected. |
The app saves only a small “you’re offline” page on your device. Your records are not stored in your browser.
Signing in with Google
If you choose Sign in with Google, Google asks you to share basic profile information with Binary Books. We request only the openid, email and profile permissions, and we receive:
- your name, email address and whether Google has verified that email address;
- a Google account ID, which lets us recognise you next time even if you change your email address;
- a link to your Google profile picture.
We use this information only to sign you in and to show your company’s admins who you are. We don’t receive your Google password, and we can’t read your Gmail, Drive, Calendar or contacts. We don’t use Google data for advertising, and we don’t sell it or pass it to anyone except as described in section 07.
If you sign in with Google before an admin has invited you, we keep your name, email address, Google account ID and picture as an access request until an admin accepts or refuses it.
Binary Books’ use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How we use data
- to run Binary Books for your company: sign people in, store and show your records, print and export documents;
- to keep it secure: stop password guessing, record who did what, and investigate problems;
- to back up your company’s data and restore it if something goes wrong;
- to support you when you contact us, and to tell admins about changes that affect the service.
We don’t sell personal data, use it for advertising, or use your company’s records to train AI models.
Who else handles it
We use a few service providers to run Binary Books. Each one handles data only to provide its service to us.
| Provider | What for |
|---|---|
| Cloudflare | Hosting, the database and file storage, for the website and Binary Books. |
| Sign-in, only for people who choose Sign in with Google. Also the website’s fonts. | |
| Anthropic | AI invoice scanning, only if your company switches it on: each invoice you scan is sent to Anthropic’s Claude API to be read. If you connect your own Claude account to “Ask your data”, the answers go to that account under your agreement with Anthropic. |
| GitHub | Nightly backups, stored in a private repository that only we can access. |
These providers may process data outside the UAE, including in the United States and the European Union. We share data with others only if the law requires us to, or with your company’s permission.
How long we keep it
- Accounts are kept until an admin removes them.
- Sessions end after 30 days or when you sign out.
- Business records are kept while your company uses Binary Books. UAE tax law requires tax records to be kept for years, so Binary Books never deletes tax documents on its own.
- File clean-up is optional and off unless an admin switches it on. It only removes files attached to rejected quotations or cancelled proformas older than the chosen number of days, and scans nobody used.
- Backups are taken every night and kept for as long as they’re needed to recover from problems.
- When your company stops using Binary Books, we give it a full export on request and then delete its data, including from backups, within 90 days.
Security
- Every connection uses HTTPS.
- Passwords are stored only as salted hashes.
- Saved API keys are encrypted and never included in exports.
- Access is checked by the server for every request, page by page, according to the person’s role. Hiding a button is never the only check.
- Repeated failed sign-ins are blocked, and every change is recorded in the activity log.
No system is perfectly secure. If we learn of a breach that affects your data, we’ll tell your company without undue delay.
Your rights
Subject to UAE data protection law, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, you can ask us:
- to see the personal data we hold about you and get a copy of it;
- to correct it;
- to delete it, unless we or your company must keep it by law, for example in tax records;
- to stop or limit using it.
If you use Binary Books through your company, your company’s admins can usually do these things straight away, so ask them first. We’ll help either way. Email info@binarytechme.com and we’ll reply within 30 days.
Binary Books is made for businesses and isn’t meant for anyone under 18.
Changes
If we change this policy, we’ll update the date at the top of this page. If the change is significant, we’ll also tell company admins before it takes effect.
